Privacy Policy

Last updated: October 18, 2026

ViaFlow Marketing ("ViaFlow," "we," "our," or "us") is a marketing agency and insurance lead provider that builds and runs advertising, landing pages, and follow-up systems for businesses. This Privacy Policy explains what we collect, how we use and share it, and the choices you have. It applies to our website and to the ads, landing pages, and forms we operate, whether for ourselves or on behalf of our clients.

1. Who we are

ViaFlow Marketing is a marketing and lead generation agency. When you respond to an ad or form we run for one of our clients, the business named in that ad or form is the one offering the product or service, and it is responsible for its own services and advice. Submitting your information does not create any professional relationship (for example, legal, financial, or medical) with ViaFlow.

2. Information we collect

If you respond to an ad or fill out a form we operate, we may collect:

  • Contact information: name, phone number, email address, city, state, and ZIP code
  • Request details: the product or service you are interested in, and your answers to qualifying questions (such as timeline, budget, or project details)
  • Appointment details: times you book or request for a call or consultation
  • Anything else you choose to tell us in a form, call, or message

If you are a business visiting our site or booking a strategy call, we may collect your name, company, email, phone number, and the details you provide when scheduling through our booking tool.

From everyone, we automatically collect technical information such as IP address, browser and device type, pages visited, and referring ad or website, using cookies and similar technologies.

Please do not send us Social Security numbers, financial account numbers, medical records, or other highly sensitive information through our forms.

3. How we use your information

  • To pass your request to the business whose ad or form you responded to, so it can contact you
  • To check whether your request fits what that business offers (for example, service area or timeline)
  • To contact you by phone, text message (SMS), or email about your request, including appointment confirmations and reminders
  • To respond to businesses that ask about our services
  • To run, measure, and improve advertising, landing pages, and forms
  • To prevent fraud, and to comply with the law and enforce our terms

4. How we share your information

When you submit a request through an ad or form we run for a client, we share it with that client, the business named in the ad or form, so it can follow up with you.

Insurance requests: When you ask about insurance coverage (such as final expense, life insurance, or indexed universal life) through one of our ads or forms, we share your request with licensed insurance agents who pay us for it, so they can contact you about coverage. A new request is first shared with one agent. If it isn't matched with an agent, or after about 30 days, it may be shared with other licensed insurance agents.

We also share information with:

  • Service providers who help us operate, such as website hosting, CRM and messaging tools, payment processors (such as Stripe), and advertising platforms (such as Meta)
  • Authorities, when required by law, subpoena, or to protect rights and safety
  • A buyer or successor, if our business is merged, sold, or reorganized

Businesses that receive your information use it under their own privacy policies. Depending on where you live, passing your information to a client may count as a "sale" or "sharing" of personal information under state law, and you can opt out as described below.

5. Consent to be contacted

By submitting a form with your phone number, you agree that ViaFlow Marketing, the business named in that form, and, for insurance requests, the licensed insurance agents described in Section 4 may contact you at the number you provided, including by calls and text messages that may use automated technology or prerecorded messages, about your request. This applies even if your number is on a Do Not Call list.

Your consent is not a condition of any purchase. You can revoke it at any time by replying STOP to a text, asking the caller to stop, or emailing [email protected].

6. Text messages (SMS)

  • Message frequency varies based on your request.
  • Message and data rates may apply.
  • Reply STOP to opt out at any time. Reply HELP for help.
  • Carriers are not liable for delayed or undelivered messages.

We do not share your SMS opt-in or consent records with third parties for their own marketing.

7. Cookies, pixels, and advertising

We use cookies and tracking technologies, including the Meta Pixel, to understand how people find and use our site, to measure which ads work, and to show relevant ads on other platforms. Our booking tool (Calendly) may also set its own cookies.

You can block or delete cookies in your browser settings, and manage ad preferences in your Meta account settings. Some parts of the site may not work properly without cookies.

8. How long we keep information

We keep information only as long as we need it for the purposes above, including our legal, accounting, and dispute-resolution obligations, and then delete or de-identify it.

9. Data security

We use reasonable administrative, technical, and physical safeguards to protect your information. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

10. Your privacy rights

Depending on where you live (for example, California, Virginia, Colorado, Connecticut, Texas, and other states with privacy laws), you may have the right to:

  • Know what personal information we have collected about you and how we use it
  • Access, correct, or delete your personal information
  • Opt out of the sale or sharing of your personal information, and of targeted advertising
  • Not be discriminated against for exercising these rights

To make a request, email [email protected] with "Privacy Request" in the subject line. We may need to verify your identity before we act on it. An authorized agent may submit a request on your behalf with your written permission. Note that we cannot delete information a client business has already received; you would need to contact that business directly.

11. Children

Our site and forms are intended for adults 18 and older. We do not knowingly collect information from children under 13. If you believe a child has sent us information, contact us and we will delete it.

12. Third-party websites

Our site may link to or embed third-party websites and tools, such as our booking calendar. We are not responsible for their privacy practices, so please review their policies.

13. Changes to this policy

We may update this Privacy Policy from time to time. The "last updated" date at the top shows when it last changed, and changes take effect when posted.
